Navigate the dashboard
The dashboard gives you a real-time snapshot of your business finances the moment you sign in.
When you open Cybooks, the Dashboard is the first page you see. It pulls together your cash position, profit and loss, outstanding invoices and bills, top customers, top expenses, and recent activity so you can spot trends and take action without digging through individual reports. You can change the time period at any time, and every card updates automatically.
Open the dashboard

Click Dashboard in the left sidebar. The dashboard loads at
/dashboardand is the default page after signing in. -
To change the reporting period, click the period dropdown in the top-right corner. Choose from:
- This month
- This quarter
- This financial year (selected by default)
- Last month
- Last quarter
- Last financial year
- Last 12 months
Cards that depend on the selected period update automatically when you change it.

To go to your reports, click View reports next to the period dropdown.
Dashboard cards
The dashboard is arranged in rows. Here is what each card shows.
Cash available
This is the large card at the top of the dashboard. It displays:
- Cash available -- the total balance across all connected bank accounts, converted to your base currency.
- Cash runway -- how long your current cash will last at your current spending rate (for example, "Enough for ~6 months at current spending"). If cash flow is positive or healthy, a status message appears instead.
- Cash in / Cash out chart -- a bar chart showing cash inflows and outflows over the last 12 months.
- Cash change vs last month -- a badge showing the increase or decrease in cash compared to the previous month.
- Spending trend -- a badge indicating whether your spending is increasing, decreasing, or stable.
If you have more than one bank account or accounts in multiple currencies, click the expand arrow in the top-right corner of the card. The expanded view shows:
- A list of each connected bank account with its name, last four digits, provider, and balance.
- Converted balances for accounts in a currency different from your base currency.
- Exchange rate information for multi-currency accounts.
Profit and loss
This card sits directly below the cash available card. It shows:
- Profit (or loss) for the selected period, displayed as a large figure. Losses appear in red with a "loss" label.
- Comparison to the prior period -- an arrow and amount showing how much more or less you made compared to the equivalent previous period.
- Income vs Expenses chart -- a grouped bar chart showing the last six months of income and expenses side by side.
- Three summary metrics at the bottom of the card:
- Income -- total income for the period, with a percentage change indicator.
- Expenses -- total expenses for the period, with a percentage change indicator.
- VAT to pay (or VAT refund) -- the current VAT position. Click this metric to go to the VAT returns page. If VAT is not configured, a Set up VAT prompt appears instead.
To change how income and expenses are calculated, click the date type dropdown in the top-right corner of this card. Options include:
- By invoice date (with VAT)
- By invoice date (without VAT)
- By service date (with VAT)
- By service date (without VAT)
- By payment date
Money coming in
This card shows outstanding customer invoices:
- The total amount to collect and, if applicable, the amount overdue.
- A progress bar showing the proportion of current versus overdue invoices.
- If invoices are overdue, a link shows the number of customers to chase. Click it to go to the invoices list filtered by overdue status.
- When no invoices are outstanding, a green checkmark with "You're all caught up" appears.
Money going out
This card shows outstanding vendor bills:
- The total amount to pay and, if applicable, the amount overdue.
- A progress bar showing the proportion of current versus overdue bills.
- If bills are overdue, a link shows the number of bills to pay. Click it to go to the bills list filtered by overdue status.
- When no bills are outstanding, a green checkmark with "You're all caught up" appears.
Top customers
A list of your highest-paying customers for the selected period, showing each customer's name, initials, and total amount. Click a customer to go to their detail page, or click See all to go to the full customer list.
Top expenses
A list of your largest expense categories for the selected period, showing the category name, number of transactions, and total amount. Click an expense category to view the account transactions report for that category, or click See all to go to the expenses list.
Recent activity
A chronological list of your most recent transactions. Each entry shows the contact or transaction name, category, and amount. Incoming transactions are marked with an upward green arrow; outgoing transactions with a downward grey arrow. Click See all to go to the bank transactions page.
What needs attention
This card highlights items that require your action, split into two sections:
- Needs action -- urgent items such as overdue payments or failed bank connections, each with a red indicator dot and an action button.
- Coming up -- upcoming tasks or deadlines, with amber or blue indicator dots depending on priority.
If there is nothing to act on, the card displays "Nothing needs attention".
First-time setup checklist
When you first sign in to a new organisation, a Get started with Cybooks panel appears on the dashboard. It guides you through five setup tasks:
- Send an invoice -- create your first customer invoice.
- Add a bill -- enter your first vendor bill.
- Add an expense -- record a business expense.
- Link a bank account -- connect your bank for automatic transaction imports.
- Set up the VAT return -- configure your VAT and VIES returns.
A progress bar at the top of the panel tracks how many tasks you have completed. Each task links directly to the relevant page. Once all tasks are complete, you can dismiss the panel. You can also dismiss it early by clicking the close button if you prefer to explore on your own.
Frequently asked questions
What currency does the dashboard use? All amounts are displayed in your organisation's base currency. If you have bank accounts in other currencies, their balances are converted using the latest available exchange rates and the conversion details are shown when you expand the Cash available card.
Can I customise which cards appear on the dashboard? The dashboard layout is fixed. All cards are always visible, but cards without data display an empty state with a prompt to get started.
How often does the dashboard data refresh? Dashboard data loads fresh each time you visit the page. Cash available data also refreshes when your bank feed imports new transactions.
What does the cash runway mean? The runway estimate divides your current cash balance by your average monthly spending to project how many months your cash will last. If your cash flow is positive (you are earning more than you spend), the card says "Cash flow is positive" or "Cash flow is healthy" instead of showing a month count.
