View the business snapshot

This guide explains how to use the Business Snapshot to get a quick overview of your financial position.

The Business Snapshot brings together key financial metrics in one place, so you can see how your business is performing without running multiple reports. It shows profitability, efficiency, cash position, and financial ratios for a selected period, compared against the same period last year.


Open the Business Snapshot

  1. In the sidebar, click Reports.

  2. Select Business Snapshot.

  3. The page loads with data for the Last Month by default. To change the period, use the dropdown in the top-right corner and select one of the following:

    • Last Month -- the previous calendar month
    • Last Quarter -- the previous three calendar months
    • Last Financial Year -- your previous full financial year
    • Year to Date -- from the start of your current financial year to today

Each section automatically compares the selected period against the same period one year earlier. A green arrow indicates an increase from the prior year, and a red arrow indicates a decrease.


Profitability

The Profitability section contains three cards.

  • Profit & Loss -- shows net profit or loss for the selected period as a bar chart, compared against the previous year. A description below the chart explains whether the business made a profit or whether expenses exceeded income.

  • Income -- displays total income as a line chart. The solid line represents the current period, and the dashed line represents the same period last year. Hover over the chart to see amounts for specific dates.

  • Expenses -- displays total expenses as a line chart with the same current-versus-previous-year comparison. Below the total, it breaks out Cost of Goods Sold and Operating Expenses separately.


Efficiency

The Efficiency section measures how effectively your business converts revenue into profit.

  • Net Profit Margin -- the percentage of revenue remaining after all expenses. The description explains how much net profit you earn for every unit of currency in sales revenue.

  • Gross Profit Margin -- the percentage of revenue remaining after cost of goods sold. A stacked bar shows the split between Cost of Goods Sold and Gross Profit relative to Sales Revenue.

  • Largest operating expenses -- a table listing your biggest operating expense accounts for the selected period, with amounts and percentage changes compared to the previous year.


Financial position and cash

The Financial position and cash section shows your balance sheet and cash position as of the end of the selected period.

  • Balance Sheet -- summarises your total Assets, Liabilities, and Equity with a visual diagram showing how liabilities and equity make up total assets.

  • Overall cash balance -- displays the combined closing balance across your bank and cash accounts. It lists up to three individual accounts with their balances. Click See your upcoming cash flow to open the cash flow forecast.

  • Average time to get paid -- shows the average number of days it takes to collect payment on invoices, along with the total Value of unpaid invoices.

  • Average time to pay suppliers -- shows the average number of days it takes to pay your bills, along with the total Value of unpaid bills.


Financial Ratios

The Financial Ratios section displays six key ratios, each shown as a line chart with a description of what the ratio means for your business.

  • Current Ratio -- compares current assets to current liabilities. Shows how much you have in current assets for every unit of currency in current liabilities.

  • Debt Ratio -- compares total liabilities to total assets. Shows how much debt you carry for every unit of currency in assets.

  • Current liabilities to net worth -- compares current liabilities to equity. Shows how much short-term debt you are financing relative to equity.

  • Debt to equity ratio -- compares total debt to total equity.

  • Working capital to total assets -- shows what proportion of total assets is made up of working capital.

  • Fixed assets to net worth -- shows how much of your equity is tied up in fixed assets.

If a ratio cannot be calculated (for example, because there are no current liabilities or no assets), the card displays "N/A" with an explanation.


Frequently asked questions

What period does the Business Snapshot use by default? It defaults to Last Month. You can change this to Last Quarter, Last Financial Year, or Year to Date using the dropdown at the top of the page.

What does the comparison show? Every metric is compared against the same period one year earlier. For example, if you select Last Month for January 2026, it compares against January 2025.

Why can't I change the date range while the page is loading? The date range dropdown is disabled while data is loading to prevent conflicting requests. It becomes available again once all sections have finished loading.

Why does a financial ratio show "N/A"? A ratio displays "N/A" when the required data is missing. For example, the Current Ratio cannot be calculated if there are no current liabilities recorded for the selected period.
